Microsoft Outlook gives users all of the tools needed in order to use email messages effectively. Tour de Force Email Logging provides users all of the tools needed in order to manage email messages related to the contacts of customers, prospects, and other business relationships more efficiently.
Email Logging is a feature of Tour de Force that is designed to track and maintain company email associated with business relationships. Email Logging captures a copy of email messages sent and received in Microsoft Outlook to the Tour de Force Email Logging folder.
Email Logging in Tour de Force is an optional feature that has to be set up by the Tour de Force Administrator. Email Logging is an Exchange Event Sync called TdF_EmailLogging that can be started and stopped as a service on the Microsoft Exchange server.
In order to track and maintain email messages associated with contacts of customers, prospects, and other business relationships, the Tour de Force Email Logging feature must be activated. This feature can be enabled any time, and is typically one of the last features set up during an implementation.
A wealth of information is stored within your e-mail server. Tour de Force logs each and every e-mail sent through your system, ensuring that no message is misplaced. Your system administrator can control which e-mails are logged and which are not.
The Tour de Force Email Logging uses the Microsoft Exchange archiving or journal feature to create a copy of all email messages to the TdF Email Logging folder. TdF_EmailLogging reviews each email message in order to locate a matching Contact record in the Account Packages in Tour de Force.
If the Contact record is found, the message is moved from the TdF Email Logging folder to the appropriate Account Package in the public folders, and linked to the Contact record. If a Contact record is not found, the copy of the message is permanently deleted from the TdF Email Logging folder.
You have the ability to record restricted email addresses so that no logging occurs. Email Logging only captures the email messages that have the Sensitivity field set to Normal . Email Logging does not capture email messages that have the Sensitivity field set to Personal, Private, or Confidential.
E-mail Logging within Tour de Force provides your company the ability to monitor and track all inbound and outbound email communications that exist between your users and all the contacts at customers and prospects. Using the email address of each contact within Tour de Force all inbound and outbound communications that goes through your Exchange Server including email that is sent or received using outlook web access or a wireless PDA device is logged. Each message that is passed through your Exchange Server is monitored and the To Field, From Field, and the Carbon Copy Field is scanned is looking for an existing contact within Tour de Force that has a matching email address from within that email. If a matching email is found a copy of that email from the Exchange Server is logged to that contact record. Because email is logged into the contact record into Tour de Force each email is also stored in the relating to the parent account.
Once again the email logging event sync of Tour de Force captures and provides quick an easy access to all key email communication between your users and customers and prospects.
